Executive Assistant to the CEO

Job Summary
The Kravis Center for the Performing Arts is seeking a highly organized and detail-oriented Executive Assistant to the CEO to provide high-level administrative support in a dynamic and mission-driven environment. This position serves as a key liaison between the CEO and internal and external stakeholders, including the Board of Directors and senior management teams. The Executive Assistant plays a crucial role in coordinating executive outreach, managing strategic initiatives, and ensuring smooth communication across the organization.
The ideal candidate will be a proactive problem-solver with exceptional written and verbal communication skills, strong organizational abilities, and a proven ability to handle confidential matters with discretion.
Key Responsibilities
Executive Support
- Manage the CEO’s calendar, schedule appointments, and coordinate meetings.
- Prepare and review correspondence, reports, and presentations on behalf of the CEO.
- Arrange travel plans, itineraries, and expense reports.
- Anticipate the CEO’s needs and provide timely solutions.
- Act as a "gatekeeper" to ensure efficient access to the CEO’s time and office.
- Facilitate communication between the CEO and Board members, donors, and stakeholders.
- Research, prioritize, and follow up on sensitive or confidential matters.
- Oversee special projects and strategic initiatives as assigned.
Board & Senior Management Support
- Serve as the CEO’s liaison to the Board of Directors, maintaining discretion and confidentiality.
- Assist with planning and logistics for Board and committee meetings.
- Prepare agendas, meeting materials, and minutes for Board and committee meetings.
- Administer board meeting management software, including tracking attendance and managing user accounts.
- Support senior management meetings and organizational initiatives.
Strategic & Communications Support
- Assist in the execution of the organization’s strategic plans and initiatives.
- Draft and edit written communications, including letters, acknowledgments, and donor correspondence.
- Coordinate outreach efforts and foster relationships with key partners.
Qualifications & Skills
- Education: Bachelor’s degree required.
- Experience: 5-10 years of experience supporting C-Level Executives, preferably in a nonprofit environment.
- Exceptional organizational skills and the ability to manage multiple priorities.
- Strong interpersonal skills and the ability to build relationships with diverse stakeholders.
- Excellent written and verbal communication skills.
- Ability to exercise discretion and handle confidential information with professionalism.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and board meeting software.
- Experience in event planning and fundraising is a plus.
